This article explains the fields and settings found when Updating a Meeting Profile under Meeting Mgmt, and Meeting Settings.

Field

Explanation

Quorum

Minimum number of voting members required to be present and not in conflict for a meeting.

Quorum can be expressed as “50% + 1”; or if quorum is 3 of 5 participants, you might find it easier to use “0% + 3”

Show Item Details

Select the stages of the meeting (Pre-Meeting, Conduct Meeting, or Post Meeting) where the item details window will be expanded by default.

To assist with streamlining the conducting of a meeting, this is hidden from the Conduct Meeting mode by default.

Show Agenda Details (Browser Only)

Check each box that you would like Description, Minutes and/or Resolution text to appear on the meeting structure (left side of the screen within a meeting site) for navigation in Pre-Meeting, Conduct Meeting and Post Meeting.

If no check boxes are selected, only the item titles will appear in the meeting structure.

Additional Column Name

The Attendee list allows one additional column to be added in both the agenda and minutes. If you would like to use an additional column of information, specify the column name here.

i.e., “Title”, “Electoral Area”, “Ward”

Agenda Submission Deadline

Number of days before the meeting that agenda items will be accepted for the agenda. Leave blank if you do not wish to enforce a deadline.

Select the Weekdays option if you want the Agenda Deadline to be limited to Weekdays only, excluding weekend dates.

Note: this value is used to set the submission deadline when creating a meeting site, and is enforced depending on the Report Manager settings – see Report Manager Administrator Guide for more details on enforcement options.

Submission Reminder

Number of days prior to the submission deadline that items in Draft Reports should turn orange, to indicate the upcoming deadline.

Select the Weekdays option if you want the Agenda Deadline to be limited to Weekdays only, excluding weekend dates.

Delegation Requests

Will this meeting type accept delegation requests via the web?

Note: This is used by the Internet Publishing module to show or hide the option to request a delegation.

Request for Delegation Deadline

Number of days before the meeting that delegation requests will be considered for the agenda. Leave blank if you do not wish to enforce a deadline.

Show Timer in Agenda Navigation

Select this option if you would like to show the agenda timer information in the agenda navigation of an eSCRIBE meeting site. Options are: Start time, Start-end times, or timer value (in minutes).

Item Categories

Agenda items can be classified by selecting an Item Category from the agenda item’s details. The list of agenda item categories is entered here.

Multiple categories can be entered with each separated by “;#”.

Example: For Discussion;#For Review;#For Voting

Video

If Video Manager is being used, this field indicates whether the meeting type should have the option to stream/record the meeting.

Video Session

Video can be added to open/closed session. By default this option in checked to Open.

Document Properties

This field allows you to add Document Title and Author. These values are used when preparing the PDF agenda package.

Allow Internet Publishing

If Internet Publishing module is enabled, this setting enables publishing of this meeting to the website

Election Settings

Option to enable election style voting for this meeting.

Enable Draft Agenda

Reports with a selected Meeting Date, that are not yet approved, will automatically appear in the Meeting Site.

Denote Draft Items in Agenda?

Reports that have been automatically added to a meeting will be denoted with "DRAFT" in the Meeting Site and any Prepared Agenda Packages.
