Managing the Speaker's List

If it is enabled in the meeting site, participants are able to request to speak on any agenda item. Administrators and/or the Chairperson will have to Activate the Speaker's List prior to receiving any requests. The Chairperson must have the Manage Speaker's List setting enabled in the attendee group.

Public Request to Speak

To allow a member of the public to speak on an item, select from the drop down Public Speakers and click Activate.  Click Add Speaker and enter their name, position and comment. Click "Add to the End" or "Add to Next" to simply add the public speaker into the queue to speak.

Request to Speak - Members

To open requests to speak, click the Activate Button under the Request to Speak Ribbon on the item's details.

This will enable the Speaker List Control Panel, which allows the Administrator and the Chairperson to manage the speakers list. The word ' ACTIVE" has replaced the older green dot indicating a request was open.

As requests are submitted, the requester's name will appear in the selected order. Clicking on a speaker's name will allow you to set a time that the individual is allowed to speak. Click the Play button to start the timer or the Reset button to restart the timer. The timer can be manually changed, or use the preset timer function to set a standard time. To Add a Speaker to the list, choose Add Speaker and select the Speaker. Choose whether the speaker should be added Next on the list, or at the End.

Users who have not spoken will have the ability to delete their request. A pop up confirmation will appear then their name should be removed from the speakers list, and the button in their app should be re-enabled (so that they can make a request again if they wish).

Adding a Speaker

The Add Speaker function allows the Admin or Chair to add a speaker to the Request to Speak queue and select their position and any comments they may have with 500 character maximum in the comment field. Continue adding speakers to the queue using the Add to the End or Add to the Next Buttons.

The speaker's list can be shown on the Public Display and the timer will countdown accordingly.  If the speaker continues to speak in the meeting, the timer color will turn red.

For those customers opting to show an Agenda view, the display is now split to show both the Agenda and the Speaker's List/Timer in one.

For those customers opting to show a Logo View, the display is now split to show both the Organization's Logo and the Speaker's List/Timer in one.

Once the Speaker's turn is up, selecting the next speaker will highlight that speaker's name in blue on the public display, and any previous speaker's in grey. Requests can be submitted multiple times.

If any Speaker takes more than the allotted time, the time will go into the Negative, showing a count of any overtime in Red.
