Attendee Profile - Field Explanation

This article explains the fields found when adding a new attendee to an attendee group.

Toolbar Attendee Management  Groups

Field Explanation
Attendee Group The group of attendees to which this user is being added.
Meetings Pro App Select if eSCRIBE Meeting Professional user licenses have been purchased by your organization, and the user should be assigned one of the licenses to access meeting information on their mobile device (iPad or Windows10)

Note: only available if Meetings Pro licenses have been purchased

Authentication Select if this user is created in the eSCRIBE attendee group simply for the purposes of displaying in the attendance and is not an actual user of the system. This user however will not be able to participate in conducting meeting functions such as voting.
Attendee Enter the Active Directory/Forms Database User Name of the attendee being added. Or browse the user directory by clicking the address book icon.
Attendee Info This information is used to tell eSCRIBE how the user’s name should be displayed in various areas of eSCRIBE. The “Populate” button may be used to auto-fill these fields.
Agenda Attendance Type the user’s name as it will appear in the attendance in the agenda, if set to show as per the settings
Minutes Attendance Type the user’s name as it will appear in the attendance in the minutes, if set to show as per the settings
Minutes Resolution Type the user’s name as it will appear in the Moved By/Seconded By options in the minutes
Picture

Select a picture file if one is available for this attendee. This image will be seen in the iPad and Windows applications.

Attendee Type

The type of attendee.

  • Admin: Administrators have access to build agendas, and conduct meetings
  • Participant: Non-administrative attendees, such as Councillors and Staff
Chair Select if this attendee is the chairperson of the meeting.
Request to Speak If the Chairperson option is selected, can the Chairperson also manage the speaker's list.
Closed Session Select to provide this attendee with access to closed session of meetings (For more info on Closed Session, see section below: “Open and Closed Session”).
Voter Select if this user is a voting member of this meeting, to allow them to have a vote on meeting items.
Tie Breaker Select if this attendee is a tie-breaker for votes. Tie-breaker is a voting member who usually only votes in the event of a tie. This is usually (but not always) the chairperson.
Meeting Notifications When meeting notifications are sent for this meeting, select if this user should be included on the email distribution list.
Quorum If this is a voting member, select if this person’s vote counts in the quorum rules.
Display Select if this attendee should appear in the Minutes Roll Call and/or Agenda Attendance.
Group Comments If Group Comments are turned on for participants, select to enable this user to participate in viewing/making group comments.
Voting Area

Select which voting areas the voting participant belongs to. Enter the user’s voting weight for each voting area (i.e. below, the user is in the default “All” group, with a weight of 1). For more information on Voting Areas, please see Voting areas

Additional Info If an additional attendee column is being used (configured in the Meeting profile), fill in the value here. For example, it may make sense to use this column to capture information such as the attendee’s title.
Upcoming Sites This should be selected if the attendee should be added to upcoming meeting sites which are using the attendee group.
