This article explains the fields found when adding a vote.

Field

Explanation

Proceeding Label

This dropdown list sets the type of vote. Choose from the following labels:

·         Resolution
·         Recommendation
·         Motion
·         Election

Note: Motion vote types allow you to create a secondary proceeding, where the other types do not.

Type

Select the type of vote that is being added: Options are:

·         Main Motion

·         Amendment

·         Main Motion as Amended

Secondary proceedings, such as amendments, can only be created if a main vote exists for the agenda item. Secondary resolutions are discussed in further detail below.

Number

This field may have been partially populated with default text as configured in the meeting profile.

Label

If labels are turned on for agendas/minutes, there will be a default label applied by the meeting profile. This default text will appear here and can be edited as desired. The Vote Label appears before the text in the Decision field.

Apply Template

User can select a pre-configured template from the drop down. Text from the selected template will automatically populate the textbox, and can be modified as required. More information about configuring motion templates can be found here.

Pre-Decision Text

This text will appear before the mover and seconder in the Minute document. This field can be used for general text that needs to appear between the minutes text and the vote details.

Decision

The contents of the vote. E.g. THAT Council accepts the report for information.

Post-Decision Text

This text will appear after the motion result in the Minutes document. This field can be used for general text that needs to appear after the result, but before the next agenda item.

Vote Area

The specific Vote Area that should vote on this vote (if applicable) (default value is All). If a vote area other than All is selected, not all users will appear in the moved/seconded dropdowns, or voting screens (depending on their configured Vote Area in the Attendee Group settings).

Moved By / Seconded By

Select the Mover of the vote from a drop-down style list of present voting members, who are in the selected vote area, and not in conflict.

In Pre-meeting mode, the dropdown will display all voting members who are not in conflict. If a user is selected and then is absent for the meeting, the dropdown will become blank during conduct-meeting mode, and another name will need to be selected.

Note: Meetings can be setup such that votes do not require a mover and/or seconder. In these cases, the dropdown box will be disabled.

Vote Settings

This determines what kind of Vote is being captured in the meeting.Vote Types include:
  • Majority (Present)
  • Majority (Voted)
  • Majority (Membership)
  • 2/3 (Present)
  • 2/3 (Voted)
  • 2/3 (Membership)
  • 3/4 (Present)
  • 3/4 (Voted)
  • 3/4 (Membership)
  • Unanimous (Present)
  • Unanimous (Voted)
  • Unanimous (Membership)
Optionally, select whether this Vote should be Recorded, a Secret Ballot, or Weighted (Weighted must be configured in the attendee group).

Result

Choose the Result of this motion, i.e. Carried, Tabled, or Defeated.

Consent

Whether the vote is a consent vote. This option is available only on a parent category, if sub-items exist.
