To manage the options available to Participants during a meeting, each meeting type will need to be updated to reflect the changes. Complete the following steps to manage available options:
eSCRIBE Menu Bar Meeting Management Select Meeting Type Click Update to configure:
Request to Speak (only available to those customers who have purchased Vote Manager Module)
Request to Speak (RTS) allows meeting participants the options of Choosing their position (for/against/amend/question), and optionally enter any comments. Once enabled in the meeting type, a microphone icon will appear on the browser and the meeting professional apps indicating the ability submit a request. Their request will be placed into the queue to be managed by an admin or the Chair.
Participant Site Settings: Participant site settings are broken down in the following sections:
1. Participant Details Expanded: by default, displays the information entered into Item Details
(item title, attachments, votes)
2. Participant Features: Administrators will place a checkmark in the column titled “Icons” next to each item you which to display in the Agenda navigation screen in a browser, Windows or iPad app. The most common icons that are displayed to Meeting Participants will be:
- Descriptions (will only appear in the Agenda if enabled in the meeting template)
- Resolutions (as populated in the meeting)
3. Show Comments in Participant View: allows administrators the ability to limit interactions between participants, leaving personal comments against agenda items and chair comments to be displayed only to the chair and administrators.
- Group Comments: open communication between all users
- Private Comments: comments made only the user and visible to the user
- Chair (Chairperson Only): Comments made between the meeting Adminstrator and the chair only. Read more about Chair Comments here
Conflict Settings
When a Participant Self Declares that they have a Conflict of Interest on an item (Ontario Customers), or the Administrator enters a Conflict of Interest on behalf of a participant, the Conflict will show on the Agenda's Navigation as a checkmark contained in a circle. The settings below will allow you to control how COI are captured:
Remember to Sync Profile in any meetings that already exist.
