Explanation

Group Name

This field auto populates with the approval group’s name.

Active

Indicates if the approval group is active. Inactive approval groups remain in the system, but cannot be selected by users when choosing an approval workflow.

Approval Group

Specifies the type of documents that this workflow can be used with. Options are reports, agendas, and minutes.

Associations

Select which meeting types and/or departments should be able to use this approval group. Read more about associations below.

Note: Before the workflow starts, the approval group only populates if that particular department and meeting type is selected in the Start Approval Process window.

Approvers

The list of approval steps that are part of the workflow. Approval steps can be a combination of users and meetings.

Allow Ad-Hoc Approvers

Allow users to select the Add Approval Step button when starting a workflow, adding an approver to the workflow in any step of the process. Users are also able to add an ad-hoc approver to a workflow that is in progress, and can place the approver in any part of the workflow that has not been completed.

Allow Ad-Hoc Approvers to edit

Wen ad-hoc approvers are added to a workflow, this setting determines whether or not the Ad-Hoc Approvers are able to edit the report while approving it.

Duration

This field allows you to enter the number of days before a user’s approval task will be considered overdue. Overdue approvers will receive a daily reminder email until their task is completed, or the workflow is cancelled.

Select the Weekdays option if you want the Agenda Deadline to be limited to Weekdays only, excluding weekend dates.

Note: this duration applies to each approver (ex: an entry of 1 will allow each approver 1 day before their approval task is overdue).

Read Only

After a report is approved, the report becomes Read-Only if this option is checked.

Signature Page

Select this option to include a signature page at the end of the report.

Note: If checked, signature image files can be uploaded to each approver. The signature pages are pre-configured, not customization needed.
