Sponsor Role in eSCRIBE

A Sponsor is typically the person sponsoring the presentation of this report, the person you want to notify about the details of an item or after a meeting (Agenda Notification). During a report's approval process, if assigned, the Sponsor will receive an email when the Approval Starts and is Complete. This person can be a Department Head, Director, or General Manager as an example, or the report writer.

The Sponsor field is available in two areas of eSCRIBE:

  1. Agenda Item Details
  2. Creating a Report

Agenda Item Details in a Meeting Site

When creating an Agenda Item, an Administrator can also enter a Sponsor by using the People Picker in a Meeting Site, and this will allow the Administrator to send the Sponsor an Agenda Notification which will include the Item Title, Description, Minutes, and the Motion along with the Result. This will allow Administrators to keep the Sponsor up to date on what happened with the Agenda Item/Report in eSCRIBE.

Creating a Report

If the Sponsor people picker is used by a Contributor when creating a Report, the Sponsor will receive a notification when the Workflow begins and when the report is approved. The Sponsor will follow the properties of the Report and when the Report is added to an agenda, the Sponsor will be automatically listed on the agenda item.

Awaiting Attachments

During the Report process, if a Contributor selects the "Awaiting Attachment" checkbox, it will follow the report properties and the Administrator can send an Alert to the Sponsor to notify them that the report is awaiting additional documents.

Show the Sponsor on the Agenda

The Sponsor field can also be shown on the Agenda by updating the Meeting Profile in Meeting Mgmt and under Agenda Settings Agenda Style Settings "Display sponsor column in agenda package"

Added Items from the eSCRIBE Portal

When an item is approved on the eSCRIBE Portal to be added to the Agenda, either referred or deferred items, the Sponsor can be notified that the item is being added to an Agenda.
