Conducting the Meeting

Conduct meeting mode handles everything between roll-call and adjournment. During Conduct meeting mode, administrators will take the minutes, including roll-call, free-form minutes and vote results, as well as be able to manage things like Request to Speak, Public Display, and if using Video Manager, video streaming and tagging.

Conduct Meeting mode and can be accessed from anywhere in a meeting site by selecting Conduct Meeting from the Meeting Mode section of the eSCRIBE menu bar. Alternatively, at the top of the Agenda, select the Meeting Mode drop down by clicking on Pre Meeting and choosing Conduct Meeting.

At a high-level, the steps to conducting the meeting are as follows:

  1. Complete the roll-call
  2. Start Video-recording (if using the eSCRIBE Video Manager module)
  3. Click on each item and complete details for each item as it is discussed during the meeting (time stamps for the video will be saved automatically on the click of the item)
  4. Conclude meeting

While in Conduct meeting mode, eSCRIBE will track your progress through the meeting, recording the order in which items are selected. Depending on the meeting template configurations, minutes are produced in Meeting order (order they were clicked on in Conduct Meeting mode), or Agenda order (order they appear in the agenda).

If Meeting Order is chosen as the desired format in the template settings, it is important to select items in the order in which they are discussed during the meeting. If an item is clicked out of order, it can be “unvisited” by clicking the green checkmark to the left of the item title.
