This article explains the fields and settings found when updating a Meeting Profile in Meeting Management and editing Minutes Item Level Detail Settings.

Field

Explanation

Item Header Settings

If item headers are being used, they can be styled with Bold, underline, or Italics

Show Agenda Numbers

Display agenda item numbers in the Minutes document.

Show Descriptions

Display item descriptions in the minutes document.

Descriptions New Line

If displayed, display a blank line after descriptions.

Show Pre-Meeting Minutes Lines

Include a number of blank lines in the pre-meeting minutes for easy capture of minutes notes during the meeting using a hard copy print out. If so, specify how many lines should be below each item.

Post Minutes

Display the motions that do not have a selected result in the minutes document.

Show Resolution Numbers

Display resolution numbers in the minutes document.

Resolution Number Style

Formatting options for the resolution numbers in the minutes document.

Resolution Number Font Size

Font size in points for resolution numbers in the minutes document.

Resolution Number Label

Label that shows before each resolution number in the Minutes document. Leave blank to have none.

Formatting options for the resolution number label.

Show Movers

Display the resolution Movers in the minutes document?

Moved By Label

Enter a label to be shown before the mover.

Show Seconders

Display the resolution Seconders in the minutes document.

Seconded By Label

Enter a label to be shown before the seconder

Moved/Seconded By New Line

Add a new line after Mover/Seconder and before the resolution text.

Show Pre Text

Display the Resolution pre-text in the minutes document (text that appears before the resolution).

Show Resolution Text

Display the Resolution text in the minutes document.

Show Post Text

Display the Post Resolution text in the minutes document (text that appears after the resolution).

Indent Resolution Indent resolution text so the resolution text appears indented from the mover/seconder information.
Italicize Resolution Italicize resolution text in the minutes document

Show Pre-Meeting Motion Table

This option adds a table to each item in the minute document, which can be used to track actions and other information.

Show Pre-Meeting Motion Results

Display motion results in the Pre-meeting minutes document.

Show Results

Display the Results field in the minutes document.

Resolution New Line

Add a new line between the resolution text and its result.

Moved By and Second By Label Style

Formatting options for the labels “Moved By” and “Seconded By” (or specified alternatives).

Results Style

Display motion results in Bold, italic or Underlined format in Minutes document.

Show Vote Type?

Show the type of vote that was held for this motion i.e. Vote Type: 2/3 (Present). This will show right above the result of the motion.

Result Alignment

Alignment of the resolution results. Options are left, or right.

Show Recorded Votes

Display the recorded vote details in the minutes document.

This field is used to set the default for the meeting, and can be overridden on any particular resolution by an Administrator.

Show only these recorded results

 

 

 

 

Note – this is a default setting.

Display recorded results in minutes option must be selected on each resolution. This feature is currently on by default.

None

No votes will be displayed, even if the resolution is set to show recorded results in the minutes.

All – Table format

All votes are displayed in a table format

All – Paragraph

All votes are displayed in paragraph format

Opposed

Members who are opposed will be displayed.

In Favor

Members who are in favor will be displayed.

Show Absent Voters

Display absent voters in the recorded vote details, when selected a "recorded results label name" will appear for Absent as well

Recorded results label names

Enter custom recorded result label names for ‘In favor’, ‘Opposed’, 'Conflict" and ‘Abstain’.

  • Administrators can change the label to "Recuse" if that is the preferred language over "Conflict" in the text box.
  • Administrator voting labels will remain the same across the administrator side (Yes, No, Abstain, Conflict, Absent)

Show Multiple Choice

For multiple choice votes, display the choices after the resolution text.

Multiple Choice Order

Select the order of Multiple Choice as ‘Input Order’, ‘Result Order (Ascending)’ or ‘Result Order (Descending)’ from the drop down

Result order will output the choices based on how many votes were received for each choice.

Results Label

Enter a label to show before the motion result. Leave blank for none.

Vote Count for Recorded Result

Display the vote count for recorded vote beside the result ex: CARRIED (6-3).

Show Attendance History

Display the attendance history when a participant is checked in or out of the meeting by an administrator using the Roll Call Widget. For more information on the Roll Call Widget see the help article: Roll Call Widget

Show Attendance Comments

If showing attendance history, Display the comments noted in the roll call.

Tasks

Display tasks in the minutes document for each item where a task has been added.
