The following list outlines the quick parts and Rich Text content controls that can be applied to your report template to help automate the report writing process. If you would like any of the information noted here to populate into the draft report, you will need to apply the corresponding Quick Parts/Rich Text content control:
Quick Parts:
- Title (extracts from report and becomes the Agenda Item Title when adding the report to the Agenda)
- Report # (extracts from report properties into report)
- Sponsor (extracts from report properties into report and displays the First and Last name of the user in eSCRIBE)
- Please Note: Microsoft removed the ability to have a drop down that looks up the values from another system as of Office 2016/Office 365. This means that the eSCRIBE Department and Meeting Types as seen below, may not be supported for use with Quick Parts.
The screenshot below is of the reports properties that the report authors will need to complete prior to drafting the actual report. Once the form is completed, the draft report template will open for the author(s) to complete.
To tag your report template with these quick parts, see the article Report Data Extraction - Tagging the Report Title (same steps apply, using the Relevant field).
The following fields can be used to extract additional information from a report, and added to an Agenda when Creating an Agenda Item from an Approved Report. These fields must be added as Rich Text Content Control in Microsoft Word.
Rich Text content control:
- Recommendation (extracts from the report)
- Description (extracts from the report)
For more information about how to tag these areas, please see Report Data Extraction - Recommendation/Description Quick Part
