FAQ: Calendar Change Process, eSolutions/GHD changes

There are three types of calendar changes that can occur. Each requires specific preparation and steps before the change-over date.

  1. eSolutions/GHD (Old Calendar → New Calendar)
    Pre-work & Steps:
    • Select a change-over date with the Client/eSolutions (preferably a day with no meetings) and notify the eScribe Support Team.
    • Unpublish all upcoming meetings before the change-over date.
      ⚠️ If this is not done, Publishing errors and duplicate entries may occur.
    • Ensure all past meetings have their documents (minutes, videos, etc.) published.
    • On the change-over date, eScribe will apply the new GHD calendar configuration.
    • The client can then re-publish upcoming meetings.
    • Ask eSolutions/GHD to migrate old meetings - This can be done anytime, but the client must confirm past meeting documents are published before migration.

       
  2. Existing eScribe Calendar → New eSolutions/GHD Integration
    (For clients who already publish meetings via eScribe Pub)
    Pre-work & Steps:
    • Select a change-over date with the client/eSolutions (preferably a day with no meetings) and notify the eScribe Support Team.
    • Unpublish all upcoming meetings before the change-over date.
      ⚠️ If not done, Publishing errors and duplicate entries may occur.
    • Ensure all past meetings have their documents (minutes, videos, etc.) published.
    • On the change-over date, eScribe will apply the new GHD calendar configuration.
    • If requested, eScribe will migrate past meetings from the eScribe Pub site to the GHD calendar.
    • Re-publish all upcoming meetings in eScribe.

       
  3. eSolutions → Third-Party Vendor (e.g., Upanup, no integration)
    Pre-work & Steps:
    • Notify eScribe Support/CSM/Implementation of the change-over date.
    • eScribe Support will disable the eSolutions integration on the specified change-over date.
    • Inform the customer that previously published meetings will no longer appear within the eSolutions/GHD calendar.
