Root Cause

•  
  • Word caches the document when first opened
  • When a user opens the same document again, Word detects a discrepancy between the cached version and the synced version.
  • As a result, Word prompts the user to either “Save As” or “Discard changes.”
  • Word thinks the file is out of sync, likely due to:
    • Recent background sync activity (e.g., field updates).
    • A new document version being created by sync logic.

If the user did save all changes previously, choosing “Discard changes” is safe.

If changes were not saved, unsaved edits may be lost.

Best Practices for Users

To avoid encountering this issue or losing work:

1. Save Frequently
   Encourage users to save changes regularly during document editing sessions.
2. Avoid Leaving Word Open Idle
   Don’t leave documents open with unsaved changes for extended periods.
3. Understand Safe Discarding
   If users are sure they saved all changes before closing last time, it's safe to click Discard when prompted.
