Administrator- Pausing a Workflow During An Approval Process

Users who have the ability to pause a workflow will notice a Pause button in the screens where they see Approve and Reject buttons.

Report Authors will see the Pause button located in the workflow history window on the left side of the Close button.

Approvers will see this option between the Approve and Reject buttons.

When the workflow gets paused, the Pause buttons will turn into Resume buttons. When the workflow is resumed, then the Pause button will appear again. 

When the workflow gets paused, automatic emails will be stopped and two new emails will be sent out notifying the following types of users that the workflow is paused by a specific user who paused it. The language used for both types of emails are slightly different, depending on the type of user you are in the approval process. 

  1. One is sent to the Current Approver who the task is sitting with, as the workflow got paused. If the task has been delegated, the Delegate will get this new email, instead. Here is an example of the sample email: 

  1. The other one will be sent to the Report Author to alert them that the workflow as been paused. Here is an example of the sample email:  

NOTE: Attachments cannot be added in a paused state. There are certain users who can edit the report in a paused state: 

  1. The Current Approver- They can edit the report as long as they have the permissions to edit.  If the task has been delegated, the delegate can edit as long as they have the permissions to edit. 
  2. The Report Author
  3. Certain Administrators (Portal Administrator, Administrator and Workflow Administrator)

 

 

When the workflow is resumed, the Current Approver and the Report Author will get an email letting them know that the workflow has been resumed by the specific user who resumed it. Administrators do not receive the new paused and resume email notifications. The language used for both types of emails are slightly different, depending on the type of user you are in the approval process.
