Instead of terminating the approval process, workflows can be paused in eSCRIBE. This feature will allow certain users to pause the workflow and stop notifications being sent out to approvers. This would also give a Paused status to the workflow.
To add the option of pausing a workflow, click on the checkbox for Allow Approvers, the Report Author and Administrators to pause the workflow? for a specific workflow(s) set up screen. Click Save to save this option.
If this option is left unchecked, then the workflow cannot be paused.
There are certain users that have permissions to pause a workflow:
- The Current Approver- They can pause the workflow, when it is their turn (if the task has been delegated, then the delegate can pause).
- The Report Author- They can pause the workflow at anytime.
-
Certain Administrators- They can pause the workflow at anytime. The Portal Administrator, Administrator and Workflow Administrator.
- NOTE: For any forms user that has Meeting Administrator permissions, they must also be marked as a Workflow Administrator in the Meeting Management settings of the meeting type. This is done when you select an existing meeting type and click on Update that appears under the meeting type field.
If this step isn't completed, then the report/workflow that has the paused option enabled will not appear in that user's Documents section, when they log in.
