As an additional option for taking the minutes of the meeting, or as a backup in the event that internet connection is lost during the meeting, eSCRIBE Administrators can generate a meeting’s Pre-Meeting Minutes document.
This Pre-Meeting Minutes document contains all pre-populated information such as minutes and resolutions. It can be modified or added to during the meeting, and then referred to in Post-Meeting mode when competing the minutes.
The pre-meeting minutes displays attendance as a list with a place to check off attendees who are present. It also leaves a blank for Movers & seconders, and displays all motion results, so that the selected result can be circled or highlighted.
Note: Information captured in the Pre-Meeting Minute template is not automatically updated in eSCRIBE. Therefore, after a meeting is complete, administrators must visit Conduct Meeting Mode and update the live data as required.
To generate Pre-Meeting Minutes, select Prepare from the Documents section of the eSCRIBE menu bar within a Meeting site.
Select the Minutes option, select Pre-Meeting Minutes package, then click Prepare.
The document can be opened in Microsoft Word, by clicking View beside the generated document.
