How to Setup Report Permissions?

Any user with either an Administrator or Contributor role has the ability to create reports in eSCRIBE using the Report Manager module.

Upon the creation of a report, the following users will automatically have access to the report:     

  • Full Access (read & write)
    • any user assigned to the Administrators SharePoint group will have full access
    • the author of the report will have full access
    • depending on the department that is selected for the report, anyone listed in the Contributors or Contributors Closed (if the report is marked as confidential) in the Departmental Permissions setting

  • View Only (read)
    • depending on the meeting type the report is assigned to, anyone listed as a Draft Report Viewer (only while the report has a Draft status), or an Approved Report Viewer (only while the report has an Approved status) in the Meeting Type Administration settings can see all reports belonging to this meeting type, regardless of Department.

    • To limit access by Department, depending on the department that is selected for the report, anyone listed in the Readers or Readers Closed (if the report is marked as confidential) in the Departmental Permissions setting.

Permissions can also be set on an individual report basis by selecting Manage Permissions from the report’s drop down menu.

Users and groups can be edited or added at this point by entering their name in the people-picker, and clicking Add.

Any user’s permissions can also be modified from this screen, simply by checking the appropriate button.  To remove a user’s permissions, simply select the Remove option for that user and click Save.
