Improvements:
Publish Revised Agenda Cover Page on Internet Publishing
(this improvement was a Customer suggestion)
- The revised agenda cover page can be published to Internet Publishing
- Simply go to the applicable meeting site Documents Prepare tab and select to prepare the "Merge Cover Sheet"
- Once prepared, go to Publish Internet tab and the "Merged Agenda Cover" will be available to publish to Internet Publishing
- Ensure the meeting site has been published first
- Once published, the document is available for viewing on Internet Publishing and also searchable through external search
Agenda Header and Footer Improvements
(this improvement was a Customer suggestion)
- There are a few new settings around agenda headers and footers. Administrators are able to add headers and footers across their agendas (full and/or cover sheets)
- New and improved settings in Meeting Management are:
- Agenda Agenda Style Settings "Agenda TOC Header Font Size", a tool tip has been added
- The font size selected will also apply to the agenda header size
- The same improvement has been made for the setting "Agenda TOC Footer Size"
- A new setting has been added titled "Agenda TOC Footer on First Page"
- Now that footers can appear on the agenda, the administrator can choose if they would like the footer to display on the Table of Content's first page
- A new setting has been added titled "Default Agenda Header Position"
- This setting determines where the header text is aligned in the agenda
- The three options are left, center and right
- This is the default setting. The setting can be updated per meeting site within the prepare screen (the setting will be mentioned below)
- There is also a new setting applicable to the footer positioning titled "Default Agenda Footer Position"
- A new setting has been added titled "Default Agenda Header Details"
- This setting determines what text will make up the agendas header
- The administrator can type their preferred header text in the textbox and it will be the default header text for all applicable meetings
- This is the default setting. The setting can be updated per meeting site within the prepare screen (the setting will be mentioned below)
- There is also a new setting applicable to the footer text titled "Default Agenda Footer Details"
- A new setting has been added titled "Default to Include Agenda Header In"
- This setting determines where the header displays
- There are two options to choose from:
- "Cover Sheet" - the header will appear on the agenda cover sheet (including the cover sheet within the full agenda package)
- "Attachments" - the header will appear on the attachments within the full agenda package
- This is the default setting. The setting can be updated per meeting site within the prepare screen (the setting will be mentioned below)
- There is also a new setting applicable to the footer text titled "Default to Include Agenda Footer In"
- Agenda Agenda Style Settings "Agenda TOC Header Font Size", a tool tip has been added
- Almost the same settings that have been added into Meeting Management can be found in the prepare screen
- Each agenda type (Agenda, Post Agenda, Addendum and Merged) has it's own section for the header in the prepare screens "Details" section. The agenda header defaults from Meeting Management are applied to these settings, which can easily be updated to make any changes per meeting
- "Include Header In" - cannot be adjusted per agenda type. The administrator can choose if they would like the header in the cover sheet, attachments or both (the full agenda package)
- "Header Position" - can be adjusted per agenda type
- "Header Details" - can be adjusted per agenda type
- There is only one area in the prepare "Details" section to update agenda footer settings. Each agenda type does not have it's own section of settings
- "Include Footer In" - the administrator can choose if they would like the footer in the cover sheet, attachments or both (the full agenda package)
- "Footer Position" - determines where the footer will be aligned in all agendas
- "Footer Details" - determines what the footer text will be in all agendas
- Each agenda type (Agenda, Post Agenda, Addendum and Merged) has it's own section for the header in the prepare screens "Details" section. The agenda header defaults from Meeting Management are applied to these settings, which can easily be updated to make any changes per meeting
- It's important to remember that the settings in the prepare section (for headers and footers) mirror the settings in Meeting Management. If the meeting site is synced, the information within Meeting Management applicable to these new settings, will be applied to the meeting site
- It's also important to align the headers and footers so that it does not interfere with any page numbers that may appear in your agendas
Pause Workflow Option
(this improvement was a Customer suggestion)
- With the new pause workflow setting, certain users are now able to pause a workflow - stopping notifications being sent to approvers and adding a Paused status to the workflow
- Main menu Report Manager Workflows, and select a workflow or build a new one to see the new setting. "Workflow can be Paused" can be checked to "allow approvers, the report author and administrators to pause the workflow." If unchecked, the workflow cannot be paused
- Only certain users have the permission to pause a workflow:
- The current approver - can pause when it is their turn (if the task has been delegated, the delegate can pause)
- The report author - can pause at anytime
- Certain administrators - can pause at anytime - portal administrator, administrator and workflow administrator (the forms user "meeting administrator" must be checked as well as being a workflow administrator in the meeting management settings)
- Users with the ability to pause a workflow will notice a new Pause button in screens where they see Approve and Reject buttons. The pause button displays between the Approve and Reject buttons
- The report authors Pause button is located in the workflow history window, to the left of the Close button
- When any of the able users pauses a workflow, all of the Pause buttons will turn into Resume buttons in the same location as the Pause buttons and vice versa
- Automatic emails will be stopped when a workflow is paused - they will resume when the workflow gets resumed
- There are two new emails that are sent out when the workflow is paused, letting the user know that the workflow has been paused by the certain user who paused it
- One goes to the current approver who the task is sitting with when the workflow has been paused (or delegate, if the task has been delegated)
- The other goes to the report author to alert them that the workflow has been paused
- When the workflow is resumed, the current approver and the report author get an email alerting them that the workflow has been resumed by the certain user who resumed it
- Administrators do not receive the new paused and resumed email notifications
- There are two new emails that are sent out when the workflow is paused, letting the user know that the workflow has been paused by the certain user who paused it
- Only certain users can edit the report in a paused state
- The current approver - if they have the permissions to edit (if the task has been delegated, the delegate can edit - they also need to have the permissions to edit)
- The report author
- Certain administrators (the administrator types discussed previously)
- When paused, the status of the workflow across eScribe updates to Paused
- The document filter used to filter reports has a new status filter "Paused"
- If the status "Approval in Progress" is filtered, documents that are paused will display there also
- The workflow history updates to reflect the event of a pause and the event of a resume
- The user who paused or resumed it is captured as well as the date and time the event happened
Fixes:
System:
- Resolved an issue where the report number was being appended, even if the Append to Agenda Title was not checked
- Resolved an issue where the meeting administrator could only view or prepare minutes in English and not French
- Resolved an issue where the cover sheet was not able to be prepared
- Resolved an issue where track changes were not displaying in the agenda package, even when they were not yet accepted
- Resolved an issue where users were unable to edit PDF packages that were generated by eScribe
- Resolved an issue where the graphical vote display was not working when the Vote Results Timer was set to "No Timer"
- Resolved an issue where the option to publish the meeting video to participants and visitors was appearing when it shouldn't be
Internet Publishing:
- Resolved an issue where the HTML minutes, specifically the non voters listed, displayed some spacing issues when only two members were present
- Resolved an issue where the HTML post minutes was printing "Motion" when the vote result was empty
- Resolved an issue where screen readers were not able to access the attachments pop-out window in HTML documents periodically
- Resolved an issue where French search results were displaying the English meeting type, not the French version
- Resolved an issue where agenda item times in the HTML document were not properly aligned
