After The Meeting

Once meeting is adjourned, the meeting will be in Post-Meeting Mode which allows you to complete Post Meeting Tasks.  After your eSCRIBE Meeting, there are only a few main tasks that need to be completed.

Verify / Complete / Edit Minutes & Resolutions

Post-Meeting Tasks operates the same as Pre-Meeting mode.  Click items on the left and complete the required information on the right hand side.

  1. Clean up free-form minutes. Fix any shorthand that was captured, and check for spelling and grammar mistakes. 
  2. Check your resolutions, and ensure vote results, movers, and seconders were captured correctly. As you check your resolutions, it is a good time to add a resolution number if desired.

Generate Minutes Document

  1. Click on Documents, select Prepare and select the Minutes tab
  2. Select Post-Minutes to create a post-meeting minutes document, and click Prepare
  3. View, Approve, and publish options are the same as for agenda packages.

Send Minutes for Adoption in a Future Meeting

The minute document can be easily added as an agenda item in a future meeting. From the Documents  Prepare  Minutes screen, simply select the Create link for the appropriate document.

A pop up window will appear to provide the administrator with the option to attach the minutes document to an existing item in a meeting agenda, or to create a new agenda item and attach the minutes. Follow the prompts on the screen to include the minutes into the next meeting agenda (either Attaching to an existing agenda item or Creating a new agenda item).

The actual approval of the minutes will be done via a Resolution during the Meeting.

Send Minutes for Approval as Part of a Workflow

To approve the minute document, simply click Approve on the appropriate document’s row.

Select which workflow group should be used to approve the minute document. If no workflow groups have been configured, or you do not wish to use a workflow group for approval, select Immediate Approval, and the document will be instantly marked as approved.

If an approval group is selected, then each user in the approval group will receive a sequential request to approve or reject the Minutes document. For more information on workflows, see the Report Manager user guide.

Minutes document approval can be undone by clicking the Remove Approval link for an approved document.

Send Agenda Item and Task Notifications

Click Notifications on the eSCRIBE Menu bar.

From the same screen, click which agenda item and task notifications you would like to send, and click Send.  Note, agenda item notifications can only be sent for agenda items that have a sponsor.
