For organizations using eSCRIBE’s Forms Authentication module, where users for eSCRIBE are created and managed right in the eSCRIBE application there are some important user administration functions that are common.
Note: to perform these functions, a user must have any one of the following permission roles: Administrator, Portal Administrator.
Unlocking Users
As an added security measure, whenever users attempt to access eSCRIBE with an incorrect password more than three (3) times, their account will lock and the user will not be able to login until their account is reset.
Note: the ability to lock a user’s account is also useful when a user goes on leave from the organization and the administrator would like to remove their login capabilities.
To unlock a user, navigate to the Attendee Management > Forms Users
A locked account will show “Yes” under the “Locked” column on the user list. The user will not receive specific feedback telling them that their account has been locked – it simply will not allow them into the system.
To unlock the user, click on the user name to open the details for that account & un-check the “Locked” checkbox and click “Save”
Resetting Passwords
In the event that a user forgets their password, or would simply like to reset their assigned password, a password reset request can occur one of two ways:
- User can reset their password themselves:
On the login screen, any user can click the “Forgot Password” link.
From there they are prompted for their username and email address, an email will be automatically sent to them with a temporary password so the user can login to eSCRIBE and change their password. - An Administrator can request a password reset on the user’s behalf:
- Under the menu Attendee Mgmt > Forms Users
- Click on the username for the individual
- Click the “Reset Password” button, an email will be automatically sent to the user with a temporary password so the user can login to eSCRIBE and change their password themselves.
Note: Alternatively, Administrators can directly set the password for a user, by typing the desired password into the text field then hitting the “Reset Password” button.
Note: Only clicking the ‘Submit’ button after entering the desired password will not reset the password.
