Depending on your template settings, the minutes document might generate one of two ways:
- In the order that they were visited in Conduct meeting mode - or "Click sequence"
- The order that they appear on the agenda (regardless if they were visited in the meeting or not)
Often if the minutes document is generated and a number of items are not displayed in the minutes, but they were added on the agenda, this setting is often the reason.
If items are not visited, or “clicked” on, during the Conduct Meeting mode, then those items will not be displayed in the minutes document when generated in Post Meeting mode.
To have the minutes generated in the agenda order and include the items that were not visited when conducting the meeting, Administrators can follow the steps below:
- When on a meeting site’s ‘Prepare’ page with ‘Minutes’ selected, expand the ‘Details’ section by clicking on the arrow icon
- This will expand the options available when preparing the minutes document. From the options listed, select ‘Agenda Order’ and check mark the ‘Display minutes in agenda order?’ box
- After selecting the ‘Agenda Order’ option a new field will display, ‘Items not Visited’. Now, check the box ‘Minutes package to include items not visited?’, to include the items that were not visited when conducting the meeting
- Administrator can now generate their minutes with all items displayed and listed in the agenda order.
Note: The ‘Agenda Order’ and ‘Items not Visited’ options can now be configured directly in the meeting type’s settings in Meeting Management, order to have both options always selected for meeting sites created going forward.

To edit the template, complete the following steps
- Navigate to ‘Meeting Management’
- Select ‘Meeting Type’ from drop down menu
- Click on ‘Update’ link under the ‘Meeting Type’ drop down menu
- Expand the ‘Minutes’ settings by clicking on the green ‘+’ sign
- Click on the ‘Minutes Details Settings’ link to expand the settings and select the ‘Agenda Order’ and ‘Items not Visited’ options
- Now, hit the ‘Update’ button
Existing meeting sites that have already been created prior to the change, will need to be synced to apply the setting update.
