It is always recommended to Copy existing Meeting Types in order to create new Meeting Types. The reason for this is because existing templates have all of the settings configured, meaning that only the Agenda Structure has to be updated. Copy an existing Meeting Type that is similar to the look and feel of another Meeting Type.
Step 1: Copy a Meeting Type
To create a new meeting type, go to Meeting Management through the eSCRIBE Portal Menu Bar. In the select Meeting Type dropdown, select a Meeting Type and choose Copy.
By selecting to include the agenda structure, the overall structure of the meeting is copied including categories, sub-items, and default text (resolutions, minutes, etc). If this option is not selected, then only the meeting profile will be copied, and the agenda structure for the new meeting type will be blank.
Step 2: Update the Agenda Document Titles
Elements of the meeting profile can be changed before or after the copy, by expanding each section and sub-sections of the form. At a minimum, the Agenda and Minutes Document Titles should be updated so the headers of these documents are reflected correctly.
Expand the Agenda Document Titles section, and update the name of each of the 4 different document titles. If your meeting uses the Closed Session Special Action, choose the option Closed Session to update the Document Titles for the Closed Session.
Repeat the same steps for the Minutes, expanding the Minutes Document Titles and update the Heading, Sub Heading 1 and 2 as required. Additionally, if using the Closed Session Special Action, select the option below.
Once finished, choose either Copy button to create the new meeting type.
Step 3: Update the Agenda Structure
Work with the Agenda Template, adding/deleting/updating items as necessary. Just above the meeting type drop down are buttons that are used to manage the Agenda Template. Remember to expand the Details of each item if you wish to pre-populate Descriptions, Minutes and Motions.
