Conducting the Closed Session within an Open Session

The Closed Session Special Action acts as a Sub-Meeting Site to the Open Session, therefore everything that is done in the Open Session, must also be done in the Closed Session such as Roll Call and Opening Votes. If you are not using the Closed Session Special Action, and instead creating a separate meeting type, visit the Closed Session meeting and Conduct the Meeting as you would an Open Session.

First, enter the closed session through the eSCRIBE Menu Bar by selecting Closed.

Conduct Meeting mode and can be accessed from anywhere in a meeting site by selecting Conduct Meeting from the Meeting Mode section of the eSCRIBE menu bar. Alternatively, at the top of the Agenda, select the Meeting Mode drop down by clicking on Pre Meeting and choosing Conduct Meeting.

At a high-level, the steps to conducting the meeting are as follows:

  1. Complete Roll Call
  2. Start Video Recording (if using the eSCRIBE Video Manager module). For the Closed Session Special Action, you can determine if the Closed Session can be recorded internally only, or not. See Webcasting - Meeting Type Configuration
  3. Click on each item and complete details for each item as it is discussed during the meeting (time stamps for the video will be saved automatically on the click of the item)
  4. Open a Vote (if using the eSCRIBE Vote Manager module) Vote Manager - Opening a Vote
  5. Conclude Meeting

In the Closed Session, an automatic option has been added Return to Open Session which has it's own default Motion to return to the Open Session:

The text of the Motion can be edited to reflect your language to return to the Open Session Agenda.

While in Conduct meeting mode, eSCRIBE will track your progress through the meeting, recording the order in which items are selected. Depending on the meeting template configurations, minutes are produced in Meeting order (order they were clicked on in Conduct Meeting mode), or Agenda order (order they appear in the agenda).

If Meeting Order is chosen as the desired format in the template settings, it is important to select items in the order in which they are discussed during the meeting. If an item is clicked out of order, it can be “unvisited” by clicking the green checkmark to the left of the item title.
